Payment methods
What to offer buyers at checkout is set under Settings → Store and delivery → Payment methods:
- Cash on delivery — the buyer pays at the post office on pickup.
- Full prepayment — 100% upfront.
- Partial prepayment — a fixed amount upfront (you enter it there too), the rest cash on delivery.
Pay by card online appears for buyers automatically as soon as Monobank is connected.
Full and partial prepayment also go through Monobank: the buyer pays an invoice for the full amount or for the prepayment. Don't turn them on without connected Monobank — the buyer won't be able to pay.
Connecting Monobank
Online payment currently works through Monobank — money goes straight to your account; Poleso doesn't hold it and takes no percentage of sales. The bank charges its acquiring fee on its own terms.
- Get an integration token in your Monobank business account (internet acquiring).
- Settings → Payments → “Enable payments via Monobank”, paste the token into “Integration token (X-Token)” and click “Save”.
The token is stored encrypted. To replace it, enter a new one; an empty field keeps the current one.
Invoices are issued in the store's currency. WayForPay and LiqPay will come later.
How a buyer pays by card
- After “Confirm order”, the buyer goes to the Monobank page: card, Apple Pay or Google Pay.
- After paying, they return to their order page.
- When the bank confirms the payment, the order is marked paid, stock is taken, and you get a “paid order” notification.
Until payment arrives, the order holds the items for an hour. From the Plus plan, a buyer who placed an order with online payment gets “Payment received” in the chat right after paying.
Payment reminders (Plus)
Settings → Automations → Reminders about unpaid orders. If a buyer placed an order with online payment but didn't pay, the dashboard gently reminds them in the chat the order came from — at 9:00, 16:00 or 20:30. One reminder per order, never late in the evening.
If the item is already gone, the reminder is not sent — you get a notification that you need to write to the buyer yourself.
Every Monobank invoice lives for 96 hours — so a reminded buyer has time to pay.
Resending the link
The buyer lost the link or the invoice expired — on the order page, in the “•••” → “Payment link” menu:
- if the invoice is still valid, the dashboard copies the same link;
- if not, it creates a new one and copies it;
- “Send payment link” — straight to the conversation with the buyer.
The dashboard won't create a second link while the buyer is paying or the bank isn't responding — so nobody pays twice. If the money has already arrived, it says so and marks the order paid.
The buyer's order page shows a “Pay for the order” button by itself and replaces a failed invoice — often it's enough to send the buyer a link to it.
Marking payment by hand
The buyer paid by card transfer, business invoice or cash — mark it yourself. Tap the payment badge on the order card or order page (“Change payment”):
- Paid in full — the buyer paid the whole amount;
- Partly paid — enter the amount; the dashboard collects the rest as cash on delivery;
- Not paid — remove the payment mark.
For “paid”, choose how the buyer paid: card transfer, business invoice, cash or other.
Worth knowing:
- marking “paid” takes the items off stock if they haven't been taken yet;
- “Not paid” does not return items to stock — cancel the order for that. An order that was cash on delivery becomes cash on delivery again;
- if a waybill already exists and the payment method changed, the dashboard reminds you to change the COD amount with the carrier — it doesn't rewrite the waybill itself;
- marking a payment lifts the waybill block for prepaid orders (see Nova Poshta);
- every change goes into the order's “Payment history”: “Paid via the bank”, “Payment set when placing the order” or “Changed manually” — with the name of whoever changed it.
If two people on the team change the payment at once (or a bank payment just arrived), the second sees that the payment has just changed, with the fresh state — nothing is overwritten silently.
Refunds
If you refund a buyer through Monobank, the dashboard handles it: the order becomes unpaid and goes back to work, and your store's Telegram bot gets a notification. Items are not returned to stock — the parcel may already be on its way, so you decide whether to cancel the order. Orders already marked shipped or completed aren't affected by a refund.
If payment fails
If the bank is unavailable and the invoice wasn't created, the buyer does not see “order received” — only an honest error. The order still exists: you'll get the usual notification about it and see it unpaid. Send the buyer a payment link once the bank is working.
